The Logistics Management Specialist position is located in the Office of the Chief of Protocol (S/CPR), which is responsible for extending appropriate hospitality to foreign missions and their visiting leaders, facilitating cultural exchanges with the diplomatic community, and ensuring their time spent in the United States is positive and productive, thus creating the framework for diplomacy.

The incumbent of this position serves part time as a Logistics Management Specialist in the Management Division, which is responsible for planning, developing, issuing, evaluating and implementing regulations of the Department of State in order to assure central guidance and direction of policies, operations and compliance of management procedures.

  • The incumbent performs a wide variety of technical and advisory services, such as acquisition, coordination, logistical and security related services, associated with maintaining and supporting the work performed within the office.

  • Plans and delivers customer support services, including installations, configurations, troubleshooting, customer assistance and/or training in response to customer requirements and serves as an expert for database management systems. Such work includes a variety of administrative functions necessary to operate the Management office.

The Logistical Support Services Assistant will be tasked with support in the following areas of designated out-of-scope duties within the Office of the Chief of Protocol.

  • These duties include support for several databases including SharePoint, TOMIS, Contacts Database, Gifts Database, and Omnis Database.

  • The incumbent will provide input and support on the official databases. These databases are used to record, track and provide a wide range of historical and background information pertaining to the President, Vice President, Secretary of State and their spouses to various foreign chiefs of state and heads of government.

  • Incumbent will be involved with migration, maintenance and updating of existing websites.

  • Additionally, the incumbent will support the maintenance of desktop software licenses utilized by employees, such as Quickbooks, MS Visio 2000, Indesign SC2; Adobe Photoshop 7.0 and Hauppauge WinTV.

  • The incumbent will be tasked with the maintenance and support of the work performed by the sole user of the MacIntosh. This system is mainly used by the employee performing calligraphy and art design for the various programs within the Ceremonials Division.

  • The incumbent will support the out-of-scope servers which house a variety of information and data used by the office.

  • The Office of the Chief of Protocol has within its newly designed Conference Rooms, two Video Tele Conference systems. The incumbent will be tasked with training users and troubleshooting the operation of this system based on the needs and requirements for usage.

  • Recommends purchase of new tools to enhance the delivery of customer support services. The incumbent will provide written recommendations and supporting analytical documentation on the purchase of hardware and software.

  • The incumbent will ensure the proper functioning of each printer as well as the procurement of supplies for each and the accurate inventory of assets which includes hardware and software.

  • Performs various end-user support activities including developing, implementing, and refining a training plan for end-users; consulting end-users to assess their needs and specifying appropriate hardware (e.g., scanners and wide screen monitors) and software solutions.

  • Documents solutions and provides training as needed.

  • Gives needed guidance to customers, either over the phone or in person, to prevent recurrences of problems encountered.

  • Trains users, either individually or in groups, in the use of new software and, when necessary, provides refresher training in the use of existing applications programs such as those for word processing and spreadsheets.

  • Assistance also includes providing guidance on the creation of adequate passwords, proper maintenance of email accounts to avoid data overload, and the establishment of folders and files to ensure efficient storage and retrieval of documents.

  • Performs other related duties as assigned.

Qualifications

  • Bachelor Degree.

  • A minimum of 3 (three) years of related work experience is required.

  • Must be able to work independently.

  • Must be detail oriented and organized.

  • Must be able to manage multiple projects at one time.

  • Proficiency in the principles and practices of logistics management.

  • Ability to research, analyze, and evaluate information.

  • Ability to express ideas effectively orally and in writing.

  • Proficiency with Microsoft Office
