Duties and Responsibilities:

Work under the direction of the Deputy Project Manager the Motor Vehicle Supervisor supports daily Vehicle and Special Purpose Motor Equipment (SPME) maintenance and repair services for NASA Ames Research Center. Comply with requirements identified in the Performance Work Statement (PWS) and Contract Task Order (CTO) 7

  • Supports the company and NASA established goals and objectives, with emphasis on workplace safety policy and guidelines.

  • Ability to work in cold and hot conditions in or out door rain or shine

  • Positive verbal communication skills with internal and external customers

  • Ability to work safely, independently or with teams.

  • Must be courteous with positive customer service skills

  • Detailed oriented and must be able to work with minimum to no supervision.

  • Ensure Health and Safety is the number one goal by following policies, processes, and acting in a safe manner at all times.

  • Assist operators with addressing outstanding vehicle issues

  • Accurately record time, parts, and inspection checklists

  • Move company equipment safely on yard as needed

  • Ability to maintain and clean and orderly Office

  • This position may be assigned to first or second shift and some weekend duty may be required.

  • Perform physical inspection of GSA fleet prior to dispatching of vehicle

  • Ability to dispatch vehicles on a as needed basis

  • Ability to wash, wax, vacuum and fuel motor vehicles prior to dispatch

  • Able to record daily fuel usage and order fuel in a timely manner

  • Ability to physically inspect fuel stations daily

  • Ability to record vehicle maintenance to Maximo

  • Ability to record GSA Fleet maintenance in GSA website

  • Ability to provide weekly and monthly report to Motor Pool Supervisor for proper recording

  • Ability to upload data from Fuel Master for weekly and monthly report

  • Must be able to schedule monthly and six (6) months schedule for NASA and GSA fleet for preventative maintenance

  • Maintains an up-to-date bus and Cal Train and VTA Light Rail routes

  • Assures that each scheduled route is appropriately covered by utilizing available relief or substitute drivers/assistants

  • Validate driver’s licenses and NASA Badge to ensure that drivers have a valid license or certification prior to dispatching equipment and or vehicles

  • Demonstrates a comprehensive knowledge of all facets of driver and driver assistant duties as outlined in state and federal regulations

  • Monitor special equipment as assigned and maintain appropriate records

  • Maintain or assist in maintaining assigned files and records; receive and process information according to established guidelines and procedures

  • Communicate with outside organizations, businesses, government organizations, local police and others as appropriate

  • Perform a variety of administrative support duties as assigned; type correspondence, memos and other items; compile data from clearly defined sources and prepare reports; answer telephone, send, receive and respond to emails, route calls or messages; prepare and process requisitions; distribute mail.

Qualifications

Basic Qualifications:

  • Associates Degree is required.

  • Must possess and maintain a valid Class C California driver’s license

  • Must possess a valid Class B with passenger endorsement when required

  • Possess a clean DMV driving record.

  • Current Forklift experience and certifications

  • Knowledge of vehicle maintenance systems such as MAXIMO is required

  • Knowledge of fuel master systems is required

  • Highly Proficient Use of Microsoft suite is required

  • Familiar with Federal, State, environmental and Local California regulations

  • Interpersonal skills using tact, patience and courtesy

  • Perform dispatching and clerical support duties for assigned department.

  • Speak clearly and distinctly.

  • Learn and apply applicable department rules, regulations, policies and procedures.

  • Understand and follow oral and written directions.

  • Communicate effectively both orally and in writing.

  • Type at an acceptable rate of speed.

  • Work cooperatively with others.

  • Maintain routine records.

  • Analyze situations accurately and adopt an effective course of action.

Physical Duties:

Work requires long periods of walking, standing, bending, stooping, squatting and sitting however work is mostly performed in an office environment. Transporting materials, supplies, equipment to various destinations during various weather conditions (heat, cold, rain).

  • Requires the ability to communicate effectively using speech, vision and hearing.

  • Requires the use of hands for simple grasping and fine manipulations.

  • Requires bending, squatting, crawling, climbing, reaching.

  • Requires the ability to lift, carry, push or pull medium weights, up to 50 pounds

  • Requires activities involving being around moving machinery, exposure to marked changes in temperature and humidity, and exposure to dust, fumes and gases.
