Summary:Coordinates various aspects of a designated project or projects, and assists the Project Manager, Project Engineer and team members with the execution of the project per the established plan.Is responsible to develop and maintain tools for the project such as Meeting Minutes, Action Logs, Rosters, Meeting Schedules, Project Calendar, etc.

Essential Duties and Responsibilities:

The essential duties for this position include:

HSE Management:

  • Work with project team to ensure that all aspects of the project is setup and executed in full compliance with the requirements of NANA WorleyParsons HSE Management system and the client’s HSSE requirements and stipulations.

  • Demonstrate a visible and active commitment to continuously improve HSE performance.

Project Scope

  • Understands and executes the project scope and provide team assistance with deliverables per the plan.

  • Effectively use systems to document project interfaces and deliverables.

Quality

  • Ensures the NANA WorleyParsons and client quality system requirements are identified and applied on the project.

  • Drives process improvement through participating in Lessons Learned, Preventive and Corrective Actions meetings.

  • Reviews official project correspondence and deliverables for formatting, grammar, and content.

Team

  • Maintains project team roster, project team calendar and organization charts.

  • Aids in the distribution of information necessary.

Communication

  • Assists Project Manager to ensure accurate and timely reporting to key stakeholders.

  • Assures communication throughout project team by developing and managing support documents such as meeting minutes, action logs, project meeting calendar, etc.

  • Maintain project documentation and aid in the closeout of the project.

Risk

  • Help project team in identification of project risks and opportunities.

  • Monitors closure of all identified risks and opportunities.

Qualifications

Minimum Requirements:

  • High School Diploma

  • 5 years work experience in a project team environment

  • Working knowledge of MS Office Suite

Preferred Requirements:

  • 2 years of working in an engineering office environment

  • 2 years of experience hydrocarbon industry

Skill Requirements:

  • Provides advanced level of coordination, organizational and high-level administrative support to Project Managers and Project Engineers as required for successful project results.

  • Oversees project administrative processes and ensures proper documentation of each phase.

  • Assists Project Managers, Project Engineers and Project Controls with project initiation, coordination and final project close out.

  • Creates, organizes and classifies records according to the project filing index and priority.

  • Coordinates with Project Controls and Procurement departments to ensure deliverables are tracked and expedited as required.

  • Assists with composing and publishing meeting minutes, transmittal logs, change orders, trend logs, monthly and weekly progress reports as well as document status reports.

  • Accesses, compiles, gathers and issues requested records, reports and information.

  • Responsible for coordinating project closeout and turnover process. Completes project closeout record Schedules and attends Project debriefing and Lessons Learned meetings.

  • Maintains, Updates and publishes distribution list, contact list, organizational charts, project roster, and work break down structures.

  • Manages NANA WorleyParsons project and client forms on Intranet and SharePoint.

  • Assists Project Engineers with preparation or modification of forms and associated logs, such as technical deviation notices. P&ID’s KDCNs change notices, ECARs, IFRs, etc.

  • Executes and maintains the creation, distribution and copy control of project forms and documents. Executes and maintains version and control procedures.

  • Ensure meetings Project Review meetings (PRM) and Quarterly Program Review meetings (QPRM) with the customer are set-up and functioning properly so they can proceed efficiently.

  • Process onboarding and office moves.

  • Maintains the program communication plan and other documents/deliverables as needed.

Abilities:

  • Ability to read, analyze and interpret common scientific and technical journals, financial reports and legal documents.Ability to respond to common inquiries or complaints from clients, regulatory agencies, or members of the business community.

  • Ability to apply basic mathematical concepts such as sums, averages, standard deviations, exponents, etc.Preferably P6 knowledge of typical Project Controls vocabulary i.e. SPI, CPI, MPI etc.

  • Ability to define problems, collect data, establish facts and draw valid conclusions.Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.Able to multi-task and prioritize commitments.

  • To perform this job successfully, an individual shall have excellent knowledge of MS Office Suite and Adobe Acrobat Pro.

Work Environment:

A typical office working environment with occasional visit to client facilities which may be an industrial/factory type facility. The noise level in the work environment is usually quiet.
