Summary:This position will lead the Engineering Document Controllers in providing quality control of information and ensure document management standards and processes are maintained and adhered to field wide. Support to the client’s Data and Modelling Lead to ensure continuity in facility and project document processes for the region is a focus.

Requires interface with Projects, Facilities (Operations and Maintenance) and Engineering information users. Interface with document management resources, partners, vendors and other external bodies will also be required.

Essential Duties and ResponsibilitiesThis position requires intuitive awareness of workflow improvement opportunities and the ability to support and lead other document controllers in the essential duties and responsibilities listed below:

Setting standards, policies and processes.

  • Apply document naming and numbering conventions and issue document numbers as required

  • Adhere to change management procedure when documents are modified

  • Implement Client’s retention policy to all documents managed in the DMS (EDDI/eBentley)

Performance Management.

  • Participate in the auditing of the DMS when required

  • Ensure compliance with document management standards and procedures

  • Accountable for reporting operational performance KPIs.

Execution

  • Provide Document Management System (DMS), ie: EDDI and Bentley user support and training

  • Provide a search, retrieval, ordering and re-filing service for end users to access documents, both physically and digitally

  • Provide timely delivery of document control services

  • Maintain document file systems, indexes & document registers for critical documents, both physical and digital

  • Arrange scanning and copying of documents for input to the DMS

  • Manage lifecycle of documentation and correspondence received and transmitted externally/internally and ensure they are registered, numbered (as applicable), distributed, controlled and filed

  • Transmit documents to and from third parties, including partners, vendors, regulatory agencies and other external bodies

  • Administer security permissions for document management systems

  • Provide guidance to the correct assignment of document numbers and attributes

  • Ensure appropriate approvals are obtained prior to publishing information

  • Maintain revision history for controlled documents, formal registers and links in OMS Navigator

  • Responsible for data (attribute) integrity of DMS

Qualifications

Qualifications:

Education/Experience:

  • Associates degree required. Bachelor's degree preferred. Education to include specialized course work in records or data management, business law, or industry related course work or computer technology.

  • Minimum five (5) years of progressive experience in engineering project design document control and/or construction document control and/or turn-over document control and/or related technical records management.

  • Advanced experience working in complex Document Management Systems (Bentley, SAP, EDDI) required.

  • Advanced skillset with the Microsoft Office Suite required. Sharepoint experience preferred.

Language Ability:

Ability to read and interpret documents such as engineering drawings, datasheets and other design and construction records, safety rules, operating and maintenance instructions, and procedure manuals.Ability to write routine reports and correspondence.Ability to speak effectively before groups of managers, clients or employees of organization.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.Ability to deal with problems involving several concrete variables in standardized situations.

Certificates and Licenses:

Valid Driver’s License and acceptable driving record for the past three (3) years to be eligible under company vehicle insurance policy.

Supervisory Responsibilities:

This job has minimal staff supervisory responsibilities, however this is a lead role with the responsibility of work process and implementation oversight.

Work Environment:

This position will be located in Anchorage and will occasionally travel to the Arctic on the North Slope in Alaska where living quarters are a field camp with common living areas, and semi-private sleeping quarters and the work environment may have loud noise that requires hearing protection.

Schedule Demands:Normal schedule is a standard 40 hour work week with a rotating on-call weekend.At client/work location discretion, a 9/80 Flex schedule may be offered with a rotating on-call weekend.
