Job Introduction THIS POSITION IS SHORT TERM, MAX 1000 HOURS IN A CALENDAR YEAR

Akima Infrastructure Services, LLC (AIS), is actively seeking individuals who can contribute to national security within the science, technology, and engineering fields as part of our supplemental labor team at vital federal research and development installations supporting the Department of Energy. AIS has an established history of contributing to the success of their customers mission. Available employment opportunities may range from administrative and logistical support to advanced technical positions.

Qualified applicants must be a US citizen, at least 18 years of age, and able to meet pre-employment requirements including any required physicals, drug screen, and/or background investigation to satisfy clearance requirements from the Department of Energy.

Successful candidates will be employees of AIS, a premier government contractor charged with employing highly-motivated and well-qualified personnel who can advance the missions of the Lawrence Livermore National Laboratory in Livermore, CA. Though employed by AIS, the employee will take day-to-day direction from technical personnel employed directly by the research laboratories. Pay, benefits, Human Resource, and Employment Management functions are provided by AIS.

The Directors Office has an opening for a Secretary III. Under limited supervision, the successful candidate will perform a full range of moderately difficult secretarial and task-oriented administrative assignments in a dynamic and fast-paced environment with frequent interruptions and conflicting priorities, which require independent judgment, follow through, and confidentiality. The successful candidate reports to Director’s Office Principal Directorate Administrator.

This position may require the Secretary III have the flexibility to work overtime, shift and or weekends to accomplish goals. The successful candidate will be required to pass various on-site training modules to pursue work assignments.

Job Description

Essential Duties

  • Represent and interact with various levels of personnel, visitors, and guests and serve as a resource in day-to-day administrative matters to all levels of management, both internal and external to the Laboratory, and respond to requests for customer service (to involve gathering, clarifying, and disseminating information as well as coordinating activities.

  • Screen a steady influx of telephone calls, often independently answer inquiries and make appropriate referrals, follow through on requests; and disseminate incoming mail.

  • Coordinate, select, and compile data from multiple sources for correspondence, reports and distributions, as appropriate

  • Independently compose correspondence for signature.

  • Independently schedule appointments and maintain calendars.

  • Serve as an administrative team member, and assist with special projects.

  • Serve as Property Center Representative.

  • Serve as Training Coordinator.

  • Perform other duties as assigned.

Essential Skills, Knowledge, and Abilities

  • Intermediate to advanced administrative experience and skills, with accurate keyboarding, editing, grammar, and proofreading skills.

  • Intermediate organizational skills and relative experience working under minimal supervision, in a multitasking environment of rapidly changing priorities, deadlines, and frequent interruptions.

  • Intermediate to advanced communication and interpersonal skills necessary to interact effectively with a diverse workforce and represent the Director’s Office with various levels of management and staff, internal and external to LLNL.

  • Demonstrated problem-solving and decision-making skills necessary to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.

  • Demonstrated ability to be self-motivated and flexible, exercising discretion and mature judgment in handling business sensitive and/or classified information, as well as personnel interactions.

  • Experience arranging complex domestic travel.

  • Intermediate to advanced computer skills and experience with the Microsoft Office Suite, FileMaker Pro, Entrust, Adobe Acrobat, and the ability to learn new software quickly.

  • Experience working effectively as a team member as well as independently.

Special Requirements

Pre-Placement Medical Exam: None required.

Pre-Employment Drug Test: External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test.

Anticipated Clearance Level: Q (Position will be cleared at this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements for access to classified information or matter. In addition, all L or Q cleared employees are subject to random drug testing.
