Qivliq Federal Group is looking to hire a Medical Records Clerk to join our team supporting one of our current government customers. In this role, you will provide general support for creation, maintenance and processing of outpatient medical records.

Responsibilities Include:

  • Performs functions relating to the maintenance, distribution and retrieval of outpatient medical records for military dependents, retirees and others receiving outpatient medical care at WRNMMC.

  • Determine Prime Record Location by reviewing DEERS before creating new records.

  • Establish and Create physical medical records and create medical records in CHCS/MRT System.

  • Develop Pull List for record retrieval.

  • Retrieve and file back records from open shelf terminal digit filing units.

  • Review and prepare records for delivery to clinics.

  • Deliver and pick up records throughout medical center

  • Review and combine OB and other secondary records with primary medical record.

  • Repair and create bar code labels for records and perform record conversion.

  • Deliver and retrieve medical records on an as needed basis for all walk-in and unscheduled patient appointments.

  • Audit filing system for missing or misplaced medical records.

  • Sort loose medical reports into terminal digit, and file documents into appropriate patient chart.

  • At the request of patients, retrieves medical documents from CHCS/AHLTA computerized system and photocopy specialized medical documents.

  • Track records throughout the facility using Composite Healthcare Computer System.

  • Retrieve records for research, special studies, coding audits and for Joint Commission review.

  • Provide an average of 24,000 administrative support actions annually, performing an average of 4 actions and hour



  • Knowledge and experience in military health records including but not limited to medical record creation, format, content, forms, terminal digit filing, and processing outpatient medical records.

  • Knowledge of military eligibility for care guidelines and patient registration processes for record creation.

  • High Interpersonal customer service and communication skills.

  • Knowledge of automated data systems: Composite Health Care System (CHCS/AHLTA), Medical Record Tracking Module (MRT) and other computerized information systems.

  • Knowledge of patient confidentiality regulatory laws.

  • Experience working in a medical records business office setting.

  • Ability to stand, bend, reach and lift moderately heavy items up to 25 pounds and to maneuver a moderate size cart to deliver and retrieve records.
