The Administrative Assistant provides admin support to involve entry of financial reporting for the Alaska Native Medical Center (ANMC) Food and Nutrition Services (FaNS) department.

Starting wage for this position is $15.00 per hour, DOE. This is a seasonal position.

ESSENTIAL DUTIES:
  • Cash handling, data entry, invoicing and reconciliation of financial reports and safe audits.

  • Logs, compiles, organizes, processes, and summarizes many different types of data.

  • Prepares reports, correspondence, complies various statistical reports/graphs to support staff, supervisors, or managers.

  • Operates or performs such standard office duties such as producing general office written or electronic correspondence, handling a variety of telephone and office equipment, observing proper procedures to handle records or other materials, etc.

  • Handles confidential information in a discreet, professional manner.

  • Assists others with overflow work or special projects.

  • Will assist in the preparation of documents affecting the functioning of the assigned area.

  • Will play varying roles in supporting or conducting an area’s ongoing business or staff meetings.

  • Deals with sales and inventory to include cash reconciliation.

  • Responsible for order of office supplies and uniforms.

  • Conducts all new employee on boarding, paper work and training.

  • Will utilize specialized computer systems and applications such as payroll, catering, ordering and personnel HR changes.

  • Able to prioritize an multi-task in environment with numerous interruptions.

  • Proficiency in planning and organization in a high volume fast paced kitchen.

  • Actively supports and participates in performance improvement activities.

  • Personal maturity and poise; the ability to remain composed under pressure, to make sound decisions, and to manage diversity.

  • Act as an ambassador of the ANMC FaNS; a point of contact for all employees/new hires to assist with any concerns they may have.

  • Assists coworkers during staffing shortages.

  • Strong communication skills, in both written and verbal forms.

  • Strong team player and interpersonal skills.

  • Other related duties may also be assigned.

Food Service Worker Duties:

  • Washes objects by hand or with cleaning equipment.

  • Cleans dishes, utensils, pots, pans etc. and places in assigned storage areas in an organized and orderly manner.

  • Maintains a variety of products at certain levels in preparation, serving, or storage areas including service machines.

  • Removes garbage from assigned areas, sets up or breaks down tables, snack bars, display cases, serving lines, etc.

  • Assists with various periodically scheduled large cleaning projects.

  • Assists cooks and others as needed and coordinates one’s own activities with other’s.

  • May occasionally prepare food, entrees, coffee, etc.

  • Other related duties may also be assigned.

Qualifications

THIS POSITION REQUIRES:
  • High School Diploma or GED equivalent.

  • Must have 2 years of office admin experience.

  • Intermediate skills in Microsoft Word, Excel and Outlook email.

  • Ability to type at least 45 words per minute.

  • Must be proficient in using the following equipment: fax machine, multi- line phone, copy machine and misc. office equipment.

  • A valid Driver’s License and an acceptable driving record for the past three (3) years to be eligible under NMS’ vehicle insurance policy.

  • Must pass a fingerprinting background investigation that complies with The Crime Control Act, Child Care Worker Act and the Indian Child Protection and Family Violence Prevention Act.

  • Must be fluent in speaking, reading, and writing English.

PREFERRED:

  • Previous food service or hospitality industry experience.

  • 10 key by touch.

Vaccinations (Must provide prior to first day of work):

  • Proof of immunization for measles, mumps, rubella (MMR), ,Varicella, (chicken pox), TB, and any other immunizations and screenings designated in the current ANTHC Employee Health Program for Infection Control in Hospital Personnel.

  • Annual flu vaccination documentation to Contractor

  • Contractor may be required to maintain all employee health records on site.

PHYSICAL DEMANDS:

The employee is regularly required to sit, reach with hands and arms, talk, use hands and hear. The employee must occasionally lift and/or move up to 50 pounds.The employee is occasionally required to reach with hands and arms.The noise level in the work environment is usually quiet. All incumbents must be able to efficiently operate a keyboard.
